Facilities Manager

Summary Description

To facilitate the development of facility plans, budgeting and administrative support.  In addition, assists in lease administration and design development.  Also, coordinates and directs the office requirements and works closely with purchasing to implement a new office opening, along with closing and moving office locations.  KEPRO currently has 16 offices throughout the United States, with an estimated 2-3 new facilities being onboarded annually.


  • Provides Facilities Project Management for Facilities Department to include project planning, coordination with movers and vendors. Will be involved with space design as new office locations are established. Makes recommendations for space efficiency. 
  • Coordinates and completes new facility lease negotiations and ongoing lease administration, coordination of routing maintenance and repairs and resolves building concerns with the Property Manager.
  • Coordinates with the Purchasing Manager and Operations in the procurement of all furniture and equipment required for a new office opening. Communicate and assist in evaluating current and potential vendors to ensure compliance with contract requirements for new office locations, closing and moves.
  • Facilitates in obtaining and examining cost saving opportunities for large volume purchases (e.g. furniture, office supplies, or others as assigned). Assist with Request for Proposals (RFP's) relating to new business opportunities, as required.
  • Completes Project Plans to share with Operational staff and will be involved in the weekly implementation calls.
  • Manage the physical security for assigned facilities. Develop and oversee fire/emergency safety procedures.
  • Oversees the coordination and maintenance of records for offsite storage and shred services for onsite.
  • Manages the preparation of facility-related insurance requirements for renewals, submitting requirements outlined in RFP’s and other insurance related tasks as assigned by the Manager.

  • Bachelor’s Degree in relevant field
  • Education and experience may be considered in lieu of degree
  • Certified Facilities Management is beneficial

Skills, Knowledge Abilities

  • Proven experience as Facilities Manager or relevant position.
  • Identifies and resolves problems in a timely manner; gathers and analyzes information skillfully; works well in group problem solving situations; maintains a calm demeanor in difficult situations.
  • Strong critical thinking skills necessary.
  • Flexibility and good organizational skills needed.
  • Knowledge of basic accounting and finance principles.
  • Knowledge of Microsoft software applications (Word, Excel, PowerPoint, Access).
  • Ability to work in a fast-paced environment.
  • Responds promptly to internal customer needs; solicits customer feedback to improve service; responds to requests for service and assistance; meets commitments.
  • Speaks clearly and persuasively in positive or negative situations; listens and obtains clarification.
  • Contributes to building a positive team spirit.
  • Willing to travel to current or new offices, as needed.


  • Minimum 7 years of demonstrated Facilities experience; must have minimum of 7 years of relevant experience
  • Must have knowledge of property and facility management, along with facilities-related purchasing and working with vendors
  • Knowledge of Facility Operations/Implementations/RFPs
  • Previous workload management experience and supervisory experience strongly preferred.
  • Minimum of 2 years of demonstrated business insurance coordination
