Job Description

Accountabilities / Essential Functions

•         Works/coordinates with operational management to identify tasks that need completion, timeframes for completion, and the degree, if any, of flexibility in meeting the preferred deadline.

•         Interviews, hires, and trains administrative staff; performs staff performance management activities.

•         Assigns administrative support staff to tasks according to established priorities. Monitor the progress of the staff and identify potential problems. 

•         Determines work procedures, prepares work schedules, and expedites workflow

•         Work closely with operational management to ensure coordination of all administrative staff to adequately support all administrative processes and functions.

•         Communicates and follows up to ensure staff are fully informed of all new information related to processes, procedures, client needs and company related issues, changes or actions

•         Organize overall administrative services and ensures day-to-day activities are running smoothly.

•         Assists with other duties as assigned.

•         Work schedule includes evenings, weekend and holidays

Supervisory Responsibility





•         Education (general level if required) or specific courses

•         Associate degree or equivalent experience/education in business or related field. Medical terminology courses helpful.

•         Skills, Knowledge

Abilities (SKA)

•         Excellent organizational, verbal/written communications and interpersonal relationship skills essential.

•         Ability to handle multiple projects and set priorities

•         Adept at dealing with Client relationships.

•         Team and customer service focused:  able to respond promptly to staff and Client needs; solicit feedback to improve service; respond to requests for assistance; and meet commitments.

•         Demonstrated proficiency in MS Office (Word, Excel, PowerPoint, Access). 

•         Knowledge of Adobe software applications preferred.

•         Experience

•         Minimum of 3 years’ previous work experience, with at least 1-year supervisory experience in a healthcare or insurance environment, preferred

•         Prior work in a healthcare setting or medical terminology recommended. Previous data entry or other clerical experience is a plus.
